Plan managers, support coordinators and psychosocial recovery coaches

Information for plan managers

Providers who deliver specialist services like plan management will need to make sure their details are recorded in the participant’s plan as the people or organisations the participant has endorsed to deliver these services.

Plan managers will be able to view participant plans, and budgets  when a participant has consented.

Information for support coordinators and psychosocial recovery coaches

Participants will continue to choose their preferred support coordination and/or recovery coach provider.

If the participant already has a support coordinator/recovery coach services and wants to keep working with this provider, they can ask their NDIA planner to transfer their existing provider to their new plan at their plan meeting.

If a participant will be using support coordination or recovery coach services for the first time, or wants to change the provider they have, their NDIA planner or myNDIS contact can assist them to appoint a provider.

Participants will identify the providers they wish to approach. We can assist them by raising a Request for Service in the new my NDIS provider portal.

Providers will get a notification from us when they receive a Request for Service and will have 4 days to accept or reject the request in the new portal. When a provider accepts the request, they agree to meet the NDIA reporting requirements for their service.

Providers who deliver support coordination or psychosocial recovery coach supports will need to make sure their details are recorded in the participant’s plan as the people or organisations the participant has selected to deliver these services

Unregistered support coordinators and recovery coaches, who operate in Tasmania, will need to create a PRODA account, then contact the NDIA to link it to the new my NDIS provider portal.

Once they have a PRODA account, they can contact [email protected] to link their account.

Once the participant has provided consent, the unregistered provider will be able to submit reports related to a participant.

What information providers can view

Providers can only view participant details and parts of the plan they manage if the participant has provided consent.

Providers who have participant consent, can now see more information in the My Participant’s tab, in the my NDIS provider portal. 

Providers can see a participant’s: 

  • Preferred name 
  • Gender
  • NDIS number
  • Date of birth 
  • Preferred contact method
  • Contact number 
  • Contact email address
  • Interpreter required 

If a participant has a nominee, their name, contact number and email address will also be available. 

We will send providers a notification in the my NDIS provider portal when they receive a new participant relationship. Providers can see more information about the new participant relationship in the My Participant’s tab, when the participant has provided consent. 

The My Participant tab includes a Provider Roles list. This means providers can see all the participants they are working with. Providers can access a participant record to see the status of their provider role, and the start and end dates of their role.

Nominee information will be available for support coordinators in the request for service tab in the my NDIS provider portal, after the request has been accepted.

The plan information available to providers will depend on the type of provider:

  • General registered providers will be able to view participant details, plan start and end dates, goals, and nominee details. 
  • Support coordinators and psychosocial recovery coaches will be able to view all parts of a plan. 
  • Plan managers will be able to view the part of a plan they are managing.
  • Support coordinators and plan managers will be able to view all flexible funds available in the Core – flexible budget category.

Providers can view information about their organisation in the Organisation tab, in the my NDIS provider portal.  

Providers can see their: 

  • ID number 
  • Trading and legal name 
  • ABN 
  • Address 
  • Email address 
  • Phone number 
  • Website address 
  • Bank account details 

The Organisation tab now includes a participant’s list. When a participant has consented, support coordinators, psychosocial recovery coaches and plan managers will be able to see a list of the participants they are working with and their information. 

Providers can also see a list of employees from their organisation who have access to the my NDIS provider portal. 

Providers will only be able to view this information in the my NDIS provider portal. To update any of this information, they will need to sign in to the myplace provider portal or call the NDIS on 1800 800 110.
 

New reporting templates

As part of the test in Tasmania, we are introducing new reporting templates for support coordinators and psychosocial recovery coaches.

The reporting templates have been designed through feedback from support coordinators, and we expect them to take about the same amount of time as reporting does now.

The purpose of the reporting templates is to standardise provider reports and capture consistent information to help NDIA planners and NDIS partners prepare for check-ins and plan reassessments with participants.

There are two sets of reporting templates, one for support coordinators, and one for recovery coaches.

The new reporting templates will make it easier for these providers to:

  • Share relevant and consistent information with the NDIA
  • Meet the reporting requirements outlined in the Request for Service.

The templates ask providers for information about:

  • the participant’s support needs and situation.
  • the participant’s progress in implementing their plan to pursue their goals.
  • the supports the participant is receiving.

Providers should complete the reporting template through discussions with the participant and the people who support them, ensuring participants are aware of the detail included in the reports.

Support coordinators and recovery coaches will be asked to submit reports across the life of the participant’s plan, generally at a set period.

The timing of progress reports may change, depending on the participant’s circumstances and when their next plan reassessment is due. Support coordinators and recovery coaches should regularly log-in to their my NDIS provider portal to track due dates for the reports. 

Support coordinators and recovery coaches can submit their reports as attachments in the my NDIS provider portal.

As we are testing the new reporting templates in Tasmania, only support coordinators and recovery coaches in Tasmania can begin using the new templates. 

We will review how the templates have worked in Tasmania and consider the feedback received and experience during the test before we roll out these reporting templates nationally.
